Privacy Policy
Emma AI Operator is developed and operated by Baptiste Fort, trading as Visionia, in Paris, France. This policy explains how we handle information when a Clover merchant installs or uses Emma.
1. Information we process
With the merchant's authorization, Emma processes the Clover data needed for enabled features. This can include merchant and location details, catalog and inventory, orders and line items, payment and refund metadata, customers, employees, shifts, discounts, and cash-event records. Emma only receives the permissions presented during Clover authorization.
We also process account and session identifiers, OAuth tokens, conversation content, action approvals, audit events, diagnostic data, and support messages. We do not collect card numbers or card security codes.
2. How we use information
We use data to answer business questions, create operational analyses, detect risks, prepare merchant-requested actions, synchronize authorized Clover information, secure accounts, prevent abuse, provide support, and improve reliability. Emma does not sell personal information or use merchant data for third-party advertising.
3. AI and uploaded documents
Questions and the minimum relevant business context may be sent to OpenAI to generate Emma's response. Uploaded PDFs are sent to OpenAI for analysis. Emma does not retain the PDF file after processing; the filename, file size, written summary, and related conversation may be retained in the merchant workspace. Do not upload payment-card data, health data, government identifiers, or information you are not authorized to process.
4. Service providers and transfers
We use Clover/Fiserv for merchant authorization and data, Hostinger for application hosting, Neon for managed database services, and OpenAI for AI processing. These providers process data under their own security and contractual commitments. Depending on the merchant region and provider infrastructure, data may be processed outside the merchant's country with applicable contractual safeguards.
5. Security and retention
We use encrypted transport, protected server credentials, encrypted Clover tokens, scoped access, confirmation gates for supported write actions, and activity logs. No system is completely secure. We retain data only while necessary to provide Emma, comply with law, resolve disputes, and protect the service. OAuth tokens are removed when a workspace disconnects; associated workspace data can be deleted on verified request.
6. Merchant responsibilities
The merchant controls the Clover workspace and is responsible for lawful collection of customer and employee data, providing required notices, and limiting team access. Emma should not be used for unlawful surveillance or decisions that produce legal or similarly significant effects without appropriate human review.
7. Your rights
Depending on your location, you may request access, correction, deletion, restriction, portability, or objection. European users may also complain to their local data-protection authority. We may need to verify your identity and merchant authority before acting on a request.
